WSP is currently initiating a search for a Local Office Administrator for our Kansas City metro area office.
This position is responsible for providing general office management, administrative support and project assistance for a busy 30+ person office with an office move planned in 2018.
The candidate must be able to see tasks through completion.
Having a great attitude and ability to work in a team is essential.
Duties and Responsibilities:
*General office management including office upkeep, liaison with Facilities/Administration Manager, landlord/building management for maintenance issues
*Serves as receptionist, answers incoming calls, maintains phone list and welcomes guests
*High-level administrative support to senior, mid-level and junior staff as needed.
*Coordinates employee activities, office/project/client meetings, staff calendars, conference room schedules (including catering orders)
*Processes incoming and outgoing U.S. and overnight mail, distributes incoming faxes/packages
*Pool equipment check-out (laptops, projector, camera) and A/V set-up assistance
*Maintains inventory, orders and stocks supplies for office and field personnel
*Scanning, copying, plotting to support report production, as directed
*Coordinates shipping and receipt of numerous packages on a daily basis for priority overnight delivery
*HR assistance for new hire onboarding, etc.
*Document control (electronic and hard copy), records management processes (filing, archiving)
*Project assistance - word processing, spreadsheets, reports, presentations, etc.
*Accounts payable - invoice review/scanning into Markview System
*Coordinate onsite training events with outside vendors and online webinars, as directed
*Coordinates safety and compliance programs for office
*Other duties as assigned

*High school diploma or equivalent
*Minimum of Five (5) years of administrative experience, office management or executive assistant experience preferred
*Excellent organizational, interpersonal and communication skills
*Demonstrated competence using Microsoft Office applications is required with emphasis on creating Excel spreadsheets and formatting Word documents
*Demonstrated competence using Adobe Professional to compile electronic reports
*Must have initiative, be able to prioritize assignments and require minimal supervision
*Must possess a high level of professionalism
Preferred Qualifications *Associate degree in business or equivalent
*Experience in engineering/construction business
*Microsoft Office Specialist certification
*Knowledge of Oracle and Adobe Professional
